AI is Slaying an Old B2B SaaS Dragon: Customer Onboarding

Nobody’s talking about one of the areas where B2B SaaS companies are making huge progress with AI tech: Customer Onboarding.

Yes, AI is helping software companies of all sizes ship better software faster, enable AI features in their apps, create new products quickly, and save time and effort across their businesses.

This is all practical and real right now.

Most B2B SaaS businesses have struggled (suffered) from the heavy effort and complexity of getting new customers up on their own big system:

  • Data conversion of CRMs, ERPs, workflow, and process apps.
  • Customization (development) and configuration of the new apps
  • Converting content from previous apps
  • Moving from a custom app to a new customizable app
  • Getting workflow and business process details from teams

Churn, revenue retention, upsells, and referral rates all depend on getting to a high-value new system quickly without massive effort or headaches.

How much of your customer churn was because they never really got up in the system that should deliver great value?

Low churn in SaaS usually means it was a heavy lift to get set up, and big customers don’t want to go through that again.

SaaS companies I know are using AI tech to slay this beast of onboarding in many ways:

  • Complex data conversions that go from months to days
  • Automatic conversion of hundreds or thousands of forms or workflows with just a little confirmation checking
  • Content creation or conversion that used to take months now takes days (e.g., email sequences, knowledge bases), even for deep verticals
  • Agentic actions that happen that usually would wait weeks or months for action or approvals
  • Rapid assessment of current tech configurations used to be a nightmare
  • Vibe coding and faster dev to create powerful tools and apps for your onboarding teams — ones that have been on the product roadmap backlog for years!

B2B SaaS companies can onboard more customers faster, making customers happier more quickly, improving gross margins, and enabling onboarding and success teams to do higher-value work.

Customer conversion, setup, and onboarding have always been hidden burdens in the SaaS industry.

This onboarding step is never fun and usually very costly, but it’s so important and it’s a revenue multiplier. It’s finally improving amazingly fast.
